Business automation

Less admin, more time on the job. Enquiries answered, quotes drafted, invoices processed and customers kept informed, with you in control.

Admin is the part of the job nobody prices in

Most owners we speak to spend their evenings on admin: copying enquiries into a spreadsheet, writing quotes, chasing payments and answering the same questions again and again. None of it wins work, and all of it takes time away from the job.

We build automations that take the repeat work off your plate. They read, sort, draft and remind, and you decide what goes out.

What we can automate

Enquiries and sales

  • Every enquiry read, sorted and logged, whether it arrives by email, website form or Facebook message, with the job type, location, budget and timing picked out for you
  • An instant reply with the right information and a booking link, plus an alert to your phone for the enquiries worth calling first
  • A text back when you miss a call, so the caller does not ring the next name on the list
  • Quotes drafted from your survey notes, a voice memo or site photos, using your own price list and template, ready for you to check and send
  • Follow-ups when a quote goes quiet, and a nudge to past customers when it is time for the next job

Jobs and customers

  • Booking confirmations, a reminder the day before and progress updates while the job runs
  • Voice notes recorded on site turned into job sheets, materials lists and a summary for the customer
  • Review requests sent at the right moment, with a draft reply ready for every new review
  • Aftercare and maintenance reminders that bring customers back

Paperwork and money

  • Supplier invoices and receipts read from your inbox and prepared in Xero or QuickBooks for you to approve, matched to the right job
  • Invoices sent when a job is signed off, and polite reminders when payment is late
  • Risk assessments, method statements, warranties and care guides drafted from your own templates
  • Reminders before insurance, certificates or vehicle documents run out

Office and inbox

  • Your inbox sorted every morning into enquiries, suppliers, invoices and anything urgent, with replies drafted for the routine messages
  • Meeting notes turned into tasks and a follow-up email
  • A Monday briefing: new enquiries, quotes waiting, jobs this week, money owed and anything that needs you

Online shops and manufacturers

  • Product descriptions written from your specifications and photos, in your style
  • Order problems, returns and delivery questions sorted, with replies drafted
  • Low stock and reorder alerts based on how fast products actually sell
  • Product information translated for export markets
  • Tenders and trade opportunities found and summarised, with a first draft of the response

Marketing that runs on your work

  • Photos of a finished job turned into a project page, a Google Business Profile post and social posts, ready for your approval

Where most businesses start

Three automations tend to pay back fastest: enquiry handling with a missed call text back, quote drafting with follow-ups, and supplier invoice processing. Together they usually remove hours of evening work each week and stop enquiries slipping through the gaps. The free review will tell you which fit your business.

How it works

We start by mapping a normal week: where enquiries come from, what you send customers and what gets typed more than once. Then we build the two or three automations that save the most time, test them with you and write down how each one works. More follow once those run smoothly.

Automation also makes the rest of our work count. Every enquiry that our local lead generation brings in gets answered and followed up, even on your busiest day.

You stay in control

Automations run in your own accounts and you keep the logins. Anything that goes to a customer or touches money can wait for your one-click approval until you trust it, and anything that needs judgement, such as a price, a complaint or an unusual request, still comes to you. Customer data is handled in line with UK GDPR.

Tools we work with

Google Workspace, Microsoft 365, Xero, QuickBooks, popular CRMs and booking tools, WooCommerce, Facebook and WhatsApp Business, and connector tools such as Zapier or Make. If you already pay for software that can do the job, we use it before suggesting anything new.

How it is priced

Basic lead tracking and CRM setup is part of the Growth Partner package. Wider automation is scoped after a free review and quoted before any work starts. Software subscriptions are paid directly by you.

Questions owners ask

Do I need to buy new software?

Usually not. We start with what you already use and only suggest a new tool when it clearly pays for itself.

Will customers feel they are dealing with a robot?

Messages are written in your words and cover routine steps such as confirmations, reminders and first replies. Anything that needs a real answer comes to you, and drafts can wait for your approval.

Can it really write quotes?

It drafts them from your notes, photos and price list in your own template. You check the figures and send. Most owners find checking a draft far quicker than starting from a blank page.

What happens if an automation breaks?

We set up alerts so a failure is spotted quickly, then fix it. You also get a short written note of what each automation does and where it lives.

Is my customer data safe?

Automations run inside your own accounts, with access you control and can remove at any time. We set them up in line with UK GDPR and keep personal data to what each step needs.
